We seek a highly organised and motivated Technical Coordinator to join our dynamic team. In this role, you will support the team's success by providing exceptional administrative and logistical coordination. You will thrive in a fast-paced environment and enjoy collaborating with various team members to ensure smooth operations and efficient task completion.
Working closely with the VP of Technology, IT Operations Manager, Cyber Security Manager, and the Finance team.
Responsibilities
- Administrative Support:
- Assist with managing the asset tracker
- Assist in processing the new vendor security forms
- Assisting in the creation of policy and workflow documents
- Raise Purchase Orders
- Complete new vendor forms
- Maintain the budget spreadsheet in coordination with the technical department management team
- Process invoices, reports, and other financial documents (as needed).
- Track purchases and delivery schedules
- Prepare presentations, reports, and other documents.
- Maintain filing systems for efficient record keeping.
- Team Coordination:
- Coordinate team projects and workflows, ensuring tasks are assigned and completed on time.
- Facilitate communication within the team and with other departments.
- Prepare and distribute team meeting agendas and minutes
- Send announcements on various communication channels
- Serve as a point of contact for internal and external inquiries
- Additional Responsibilities:
- Provide general administrative support to the department as needed.
- Identify and implement process improvements to enhance team efficiency.
- Maintain a positive and professional work environment.
Qualifications
- Minimum of 2 years of experience in a similar administrative or coordinator role.
- Strong organisational and time management skills with the ability to prioritise and manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members at all levels.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to learn and adapt to new technologies and processes.
- A positive and proactive attitude with a solid attention to detail.
